How does Trelica work with Zoom?

Trelica helps IT teams keep on top of what SaaS software has been bought, how much money is being spent on it, how well it's being used and whether everything is compliant from a security and privacy point of view.

Trelica can connect directly to different SaaS tools (like Zoom) to extract up-to-date information about which of your users are using Zoom, and how regularly they are logging in. This will help you improve engagement, deprovision unused seats, and prepare for your license renewal.

To integrate with Trelica you will need a Trelica account. If you don't have one then please contact us through our website to get set-up.

Installation

If you received an email asking you to set up the integration, then just click on the link, otherwise go to Admin > Integrations to get started.

You must have specific Administrative permissions on your Zoom account in order to connect with Trelica.

As an administrator, you may have received an invitation from someone in your IT team asking you to connect Zoom to Trelica.

In the Search... box, just type in Zoom:

Then click on the Zoom logo to get started.

Connecting to Zoom

Click the Connect button at the top-right:

You will then be asked to log in to Zoom and shown a message explaining that Trelica wants to connect to your organization's Zoom account:

Click Authorize and you will be taken back to Trelica.

Even as the Owner of your company's Zoom account you may receive a message saying that you do not have permission to approve the connection between Trelica and Zoom.

To resolve this please read the section below on setting additional permissions to approve Zoom Marketplace apps.

After a short pause, Trelica will start to synchronize with Zoom and you'll see a green tick when everything is done.

Although this shouldn't take long, you don't have to wait for this to happen - once you're back in Trelica feel free to go off and do other things.

Uninstalling Trelica from your Zoom Account

The simplest way to disconnect Trelica from your Zoom account is to go back to the Zoom integration page (Admin > Integrations > Search for Zoom), click the menu icon on the right, and choose Disconnect:

Alternatively you can deauthorize Trelica by going to the Installed Apps page on Zoom and clicking Uninstall.

Usage

If you click on the View application button then you can go through to the Zoom profile page. The Users tab will show you all of your Zoom users, and details about their role and last login. The User engagement panel graphically indicates how active users are so you can easily see where there is low engagement with Zoom. Clicking on a bar will filter the user list to show the users who match the selected frequency.

At this point you may wish to review the user list or use the other tabs to fill in more information about the number of seats you have, and when you renew your Zoom licenses.

Additional permissions to approve Zoom Marketplace apps

Even as a Zoom owner you may not have permission to let Trelica connect to your Zoom account.

Go to https://marketplace.zoom.us/ and make sure you are logged in to Zoom.

Search for Trelica:

Click through to Trelica.

Make sure that the app is turned on with the on/off toggle switch.

Then make sure that you are included in the list of users who have permission to approve the app:

Minimal scope role

When you connect to Zoom from Trelica, Zoom tells you what access will be granted to Trelica. Some of this access requires administrative permissions.

Whilst it's convenient to just use a regular Zoom administrator account to connect to Zoom from Trelica, you may wish to create a specific user account for the connection and assign a custom role with the minimal permissions required.

Zoom lets you do this under the Admin / Role Management menu option:

The table below shows you the permissions that you need to grant to a role in order for Trelica to connect to Zoom.

The user account you assign to this role does not need to be a paid account.

When connecting I get the message "You cannot authorize Trelica"

If your user account doesn't have all the permissions required by Trelica, then you will be shown this message when connecting, along with a list of the missing permissions.

Either ask your account owner to make the connection, or ensure that they add relevant permissions to your role.

This can be done under AdminUser ManagementRoles.

For example, for provisioning you will need 'Edit' rights on Role management.

When creating a user I get the message "The ssoCreate option is only available for SSO Partners that have enabled the pre-provision option." 

When you create a Zoom user (whether directly from the user list, or via a workflow or access request) you can choose how the user will log in to Zoom. 

The SAML2 SSO option only works if you have enabled pre-provisioning in Zoom. Please see this Zoom Knowledge Base article.
